Regulations for students regarding leave of absence from studies

In accordance with section 39, subsection 1 of the Danish Ministry of Science, Technology and Innovation’s Executive Order no.32 of 29 January 2008 regarding admission to Bachelor’s and Master’s degree programmes at universities, etc.,the following regulations regarding leave of absence from studies have been determined for students at the University of Aarhus.

Section 1

Students are entitled to leave of absence from studies on the grounds of maternity/paternity or adoption, compulsory military/UN service, illness and/or other exceptional circumstances within the limitations resulting from section 40 of the Executive Order on admission.

Section 2

Applications for leave of absence from studies must reach the University of Aarhus no later than the commencement date requested.Applications stating documented reasons for taking leave must be submitted in writing via the students’ self-service facility.

Section 3

Leave of absence from studies is granted for a period of at least 2 months.

(2) A term is defined as the period from 1 February to 31 August and the period from 1 September to 31 January, respectively, unless another term period is defined in the academic regulations for the degree programme in question – in which case, this applies.

Section 4

Applications for discontinuation of leave of absence from studies must reach the University of Aarhus no later than the discontinuation date requested.Applications for discontinuation must be submitted in writing.

Section 5

During the term or corresponding period that students are on leave or have had leave of absence from studies, they are not permitted to take part in teaching activities, prepare for examinations and tests, or submit written assignments connected with their degree programme.

(2)During a period of leave, students are not permitted to be elected to or act as members of the University Board, Boards of Studies or Academy Councils.

Section 6

In exceptional circumstances, the university can grant exemption from the regulations in sections 2, 3 and 4. Applications stating documented reasons for such exemption must be submitted in writing.

Section 7

The university’s decision regarding leave of absence from studies can be brought before the Danish University and Property Agency when the complaint concerns legal aspects.

(2) The deadline for complaints is two weeks from receiving the decision based on this set of rules.

(3)The complaint must be submitted to the University of Aarhus, which issues a statement.The complainant has one week in which to comment on the statement.The university sends the complaint to the agency accompanied by the university’s statement and any comments made by the complainant regarding the statement.

Section 8

This set of rules takes effect as of 1 September 2008. At the same time, the University of Aarhus rescinds the regulations of 20 April 2004 regarding leave for students, regulations regarding leave for students at ASB and regulations regarding leave for students at DPU.
