Rules on admission to and enrolment on full-time programmes at Aarhus University

Rules on admission to and enrolment on full-time degree programmes at Aarhus University

Aarhus University’s rules on admission to full-time degree programmes have been established under the authority of the ministerial orders on admission:

The Ministry of Science, Technology and Innovation’s Ministerial Order No. 233 of 24 March 2011 on Admission and Enrolment on Bachelor and Master’s (Candidatus) Programmes at Universities, Parts 2-7 and 10.

The Ministry of Education’s Ministerial Order No. 87 of 7 February 2011 on Admission to Academy Profession and Professional Bachelor Programmes, Parts 2-7 and 9.

 

Part 1

Scope

1.-(1) The following regulations govern applications for admission to Aarhus University’s Bachelor’s degree programmes and degree programmes under the Ministry of Education (Part 2) as well as Master’s degree programmes (Part 3).

(2) The rector grants admission to Aarhus University’s degree programmes.

 

Part 2

Admission to Aarhus University’s Bachelor’s degree programmes and degree programmes under the Ministry of Education

2.-(1) Admission granted according to the regulations in Part 2 is for commencement of studies in the year of admission. For certain degree programmes, admission is granted for commencement of studies on 1 February of the year after the year of admission.

(2) Admission under subsection (1) cannot be converted to a promise of admission the following year.

(3) Aarhus University may offer conditional admission. Conditional admission may be granted to applicants who lack one level in one subject as per 5 July in the year of admission, under the Ministry of Education Admissions Order and the Ministry of Science, Technology and Innovation Admissions Order. In order to be considered eligible for conditional admission, the applicant must document that he or she fulfils the admissions requirements for the degree programme to which he or she has been granted conditional admission by 5 September in the year of admission, even if the applicant’s degree programme commences in the winter (the first February after notification of admission). (4) Places on one of Aarhus University’s Bachelor’s degree programmes or degree programmes under the Ministry of Education are distributed in three quotas under the Admissions Orders:

Quota 1 (application deadline 5 July)

Quota 2 applicants and certain applicants with an international upper secondary education (application deadline 15 March)

Quota 3 (application deadline 15 March)

The criteria for admission under Quota 2 and Quota 3 are to be determined by the university and made public on the AU online Bachelor’s Guide in Danish at http://bachelor.au.dk/optagelse/behandling/genereltomkvote2/ and in English at http://bachelor.au.dk/en/admission/procedure/.

3.-(1) Aarhus University sets a number of deadlines for applicants in the admission and enrolment process. Aarhus University also sets a number of deadlines for announcing a range of conditions in connection with admission and enrolment.

(2) Deadlines are announced on http://bachelor.au.dk/optagelse/vigtigedatoer/. The site is updated on a regular basis.

(3) The announced deadlines may be waived under extraordinary circumstances under Section 17 of these regulations.

4. In the case of waiting lists, the deadline for acceptance or denial of the offer of a standby place on a degree programme under Quota 1 or Quota 2 must be announced in the letter of admission.

5.-(1) Offered places which are not accepted may be offered as available places as of 30 July. All applicants who fulfil the admissions requirements as well as any students fulfilling the admissions requirements (including any necessary supplementary subjects) by the date on which the programme starts may apply for these places.

(2) Deadlines for applications for available places are announced on http://bachelor.au.dk/optagelse/vigtigedatoer/. The candidates will be admitted in descending order of best qualifying exam results. If there are still available places after the deadline for applications, qualified applicants will be admitted in the order in which their applications were received.

(3) Admissions to available places are closed either on the dean’s recommendation or when all places are filled; under all circumstances, admissions are automatically closed on 15 September.

6.-(1) Applicants to degree programmes taught in Danish with non-Nordic qualifying exams must document proficiency in Danish equivalent to a passed Study Test in Danish as a Second Language (Studieprøven).
(2) Special Danish proficiency requirements for particular degree programmes are announced on http://bachelor.au.dk/en/admission/languagereq/.

(3) Applicants with non-Nordic qualifying exams who apply to Bachelor’s degree programmes taught in English must pass an English test. See http://bachelor.au.dk/en/admission/languagereq/ for further information.

 

Part 3

Admission to Master’s programmes at Aarhus University

7.-(1) Applications for admission to Master’s degree programmes at Aarhus University must be submitted through Aarhus University’s online self-service system unless otherwise indicated at the site: http://kandidat.au.dk/optag/foerdusoegervalgafuddannelse/.

(2) Any restrictions on the number of study places or criteria for ranking of qualified applicants will be announced at http://kandidat.au.dk/.

8.-(1) The following conditions must be fulfilled and documented by the date of admission to a Master’s programme:

-          The qualifying Bachelor’s degree must be completed.

-          Any requirements with regard to level under the academic regulations for the degree programme in question must be fulfilled.

-          Any language requirements must be fulfilled.

-          All other conditions for enrolment must be fulfilled; see the Ministry of Education Admissions Order.

(2) There are special requirements regarding documentation of proficiency in English for applicants with foreign academic credentials. See http://masters.au.dk/admission/ for more information.

9.-(1) Applicants who have not completed the qualifying Bachelor’s degree programme may apply for conditional enrolment on a Master’s degree programme while still enrolled on the Bachelor’s degree programme in question under extraordinary circumstances.

(2) Conditional enrolment may not be granted if there are qualified applicants who have been denied admission to the degree programme in question in the same application round.

(3) The authority to consider applications for conditional enrolment lies with the dean of the main academic area offering the degree programme in which conditional enrolment is sought.

Part 4

Administrative enrolment

10. Administrative enrolment on full-time degree programmes may take place when

-          The applicant has completed or may receive transfer credit for programme elements which are included in the first year of the degree programme in question.

-          The applicant meets the degree programme’s requirements with regard to level.

-          There are available places at the level of the programme at which the student is to be enrolled.

11.-(1) Applications for administrative enrolment must be submitted in writing and must be received by Aarhus University by the day on which enrolment is to begin.

(2) Aarhus University may require the submission of original documentation in connection with the application.

(3) The application authorises Aarhus University to gather relevant information from other educational institutions for use in evaluating the application.

(4) Documentation of compliance with the applicable requirements must be received by Aarhus University by the day on which enrolment is to begin.

12. Aarhus University may set deadlines for applications for administrative enrolment in all or specific degree programmes as well as for all or specific groups of applicants. The deadlines are announced at least six months before the deadline on the university website; see http://studieguide.au.dk/.

13. Applicants whose failure to adhere to rules during an earlier period of enrolment at a university has resulted in administrative withdrawal must be granted exemption from these rules before enrolment.

14.-(1) If Aarhus University receives more applications for administrative enrolment than it has available places for at a particular level of a degree programme, the university determines which applicants are to be chosen.

(2) Unless otherwise indicated on the university website, the applicants will be chosen by drawing lots. Applicants who have already completed a Master’s degree programme are always given lowest priority.

Part 5

Other provisions

15.-(1) Applications and attachments will not be returned to applicants.

(2) Any letters sent by the university will be sent to an applicant’s officially registered address. Applicants without an officially registered address in Denmark who are offered a place will receive notice of this at the address which is indicated in the application.

16.-(1) Applicants must submit any documentation attached to an application for a full-time degree programme at Aarhus University in Danish, Swedish, Norwegian or English.

(2) Any documentation which is not in one of the languages named above must be translated. The translation must be performed or authorised by one of the following

  1. 1.       The institution which issued the documentation
    or
  2. 2.      A Danish state-authorised translator
    or
  3. A translator authorised by another EU country (only valid for countries where the title ‘translator' is regulated by law and which therefore require members of the profession to be state-authorised or state-certified)
    or
  4. The embassy/consulate in Denmark for the country of issue for the original document or where the translation was performed
    or
  5. A Danish consulate or embassy.

(3) Aarhus University is not able assist in the translation of documentation.

17.-(1) Under special circumstances, the university may grant exemptions from these regulations.

(2) An application for exemption must be in writing and account for the applicant's reasons for seeking the exemption and any relevant documentation. The applicant must state what rule or procedure he or she requests exemption from as well as what he or she wishes to achieve in submitting the application.

(3) Applications for exemption in connection with applications for enrolment under Part 2 must be submitted by 15 March in the year of application, unless the circumstances motivating the application can be documented as having arisen after this date. Applicants who graduate from a Danish upper secondary school in the application year may apply for exemption until 5 July of the same year.

(4) Applications for exemptions in connection with applications for enrolment under Part 3 must be submitted together with the application for enrolment.

(5) Applications must be submitted to AU Studies Administration, which ensures that they are processed by the appropriate body.

18.-(1) Decisions made under these regulations may be appealed to the appropriate government department. Appeals must be submitted within two weeks of notification of the decision.

(2) Appeals should be submitted to AU Studies Administration, Fredrik Nielsens Vej 5, DK-8000 Aarhus C.

19.-(1) These regulations come into force on 1 August 2011.

(2) The ‘Rules on admission to and enrolment in full-time degree programmes at Aarhus University’ of 1 February 2011 are repealed.
