Yes, we know this is very boring stuff… but nevertheless, you need to read it carefully: it could end up costing you a lot of money if you don’t!
- Read the housing information on the AU home page carefully before filling in your application.
- The IC housing service is free of charge. If you send in your housing application form before the annual deadlines (1.5. for the autumn semester and 1.11. for the spring semester), we guarantee that we will find a room for you. We cannot guarantee a specific location or type of accommodation. If you have specific requirements for your accommodation, you cannot use the free AU housing service, but need to find housing on your own.
- When the AU housing office has found a room for you, you will receive an email that will ask you to confirm acceptance of your accommodation on the student self service system. Once you have confirmed acceptance of the accommodation offer, you are legally bound to pay the rent for your lease until you terminate your contract with due notice (6 weeks).
- Due to unforeseen circumstances, the International Centre may on rare occasions have to cancel your accommodation after you have confirmed it. In such cases the IC will contact you immediately by email and offer you alternative housing.
- You must confirm acceptance of your accommodation within two days of receiving the email from the AU housing office. If you fail to do so, we will pass the room on to another student and you will need to find accommodation on your own. Therefore, it is very important that you check your email regularly in the periods 15.11.-15.12. (spring term) or 15.5.-1.7. (autumn term).
- The AU housing office will provide one accommodation offer per student only. If you choose not to confirm acceptance of the allocated accommodation, you will have to find accommodation on your own.
- If you decide after your arrival that you do not want the room we have reserved for you, regardless of the reason, you are legally bound to pay your rent until you terminate your contract with 6 week’s notice.
- You can move into your room the first weekday after the start of your leasing contract. For example, if the leasing contract starts on a Saturday, you cannot move in until the following Monday.
- The only way to terminate your leasing contract is to contact housing@adm.au.dk directly and thereafter fill in the relevant form with your personal signature. Information or requests passed to residences, coordinators, mentors, contact persons or anyone else will not be accepted.
- During the semester, you can terminate your contract either with 6 week’s notice to the 1st or the 15th of a month, or with 4 weeks notice to the 1st of a month, depending on your leasing contract. You can find out which rule applies to your accommodation on your leasing contract. No changes to leases are accepted after November 1st (if your contract ends in December or January) and May 1st (if your contract ends in June, July, or August).
- In some dorms you are required to leave your room seven weekdays before your lease ends. This rule allows the residence employees to carry out repair jobs in your room before the next tenant moves in. It might not be convenient for you, but this rule is in accordance with Danish rental laws, and the AU housing office is not able to change this rule.
- In your housing application you can choose one of the following preferences only:
- Proximity to campus (max. distance 4 km)
- Low costs (max. 2600 DKK/month)
- Private bathroom
- It is not possible to apply for a certain residence or a specific house. We will do our best to meet your preference, but we cannot guarantee that we will always be able to do so. Be aware that the rooms close to campus are, in most cases, the most expensive; if you have a tight budget, you should not choose the ‘proximity to campus’ preference.
- In your housing application you can choose one of the following preferences:
- Residence
- Shared facilities house
- Subletting a room
Please notice that no rooms in shared facility houses have private bathrooms.
- We will do our best to meet your preferences, but we cannot guarantee that we will always be able to do so.
- It is a good idea to apply as early as possible as your chances of having your preferences met are better the earlier we receive your application.

Contract
- In the info folder you will find two copies of your contract. You are requested to sign both of them, and turn one of them over to the International Centre no later than seven days after you have received your keys. The other copy is yours to keep.
- You need to vacate your room no later than 12 o’clock on the last work day of your lease, as stated in your contract (i.e. if the contract ends on a Sunday, you need to vacate the room no later than Friday at 12 o’clock.). If you wish to prolong your accommodation, please do so ASAP.

Change of Moving-Out Date
If you wish to alter the period of your accommodation during your stay in Aarhus, make sure to notify the International Centre as soon as possible by filling out the enclosed “Change of Moving Out” – form, and turn it over to the International Centre. Please see your contract for deadlines regarding the termination date (notice that the deadline can be three months prior to the original date) and read more about changing the accommodation period at:

- Do NOT contact the Housing Agency on your own to the change the period of your accommodation.

Moving In
- Upon moving in, please make sure to inspect the room thoroughly. If you find any damages on the room itself, furniture or kitchen equipment, please make sure to fill out the “checklist moving in”, attached to your contract, and hand it over to the International Centre no later than 5 days after your accommodation period began.
- If you find your room insufficiently cleaned when you move in, please contact the International Centre as soon as possible.
- Cost of repairing damages not reported upon moving in, or conducted during your stay, will be deducted from your deposit upon moving out.
- Please note that in Denmark you will not receive mail until you have put your name on the mail box: Therefore we kindly ask you to do so as soon as possible after your arrival.
- If you find mail at your accommodation addressed to a former tenant, please make sure that his/her name has been removed from the mailbox. This should solve the problem. Please write on the envelope “Adressaten ubekendt” (meaning unknown recipient), and put it one in of the public red mailboxes or deliver it to a post office.
- If you do not want to receive advertising matters and/or free newspapers you will have to sign a cancellation form and get a sticker to put on your door/ mailbox at the post office. Remember to bring ID.
How to clean or your guide to understand the selection of Danish cleaning products
Wooden floors
You have to find out whether your floor is lacquered, oil-treated or treated with natural soap. For all types apply that you have to use as little water as possible. Be sure to force out most of the moisture before you mob the floor.
Lacquered floors
Vacuum thoroughly; wash with as little water as possible. If the floor is really dirty you can add a bit of soap flakes (sæbespåner).
Oil-treated floors
Vacuum thoroughly; wash with as little water as possible. Add a special detergent for oil-treated floors; look in the supermarket for detergents for ‘olie-behandlede trægulve’.
Soap-treated floors
Vacuum thoroughly; wash with as little water as possible. Add a special detergent for soap-treated floors; look in the supermarket for detergents for ‘sæbe-behandlede trægulve.’
Do never use liquid soap (the soap you use for washing up dishes), chlorine or other products as they will ruin the floor (it may cost you up to 20.000 DKK to repair a destroyed floor!)
Other types of floors
You can use a multi-purpose domestic detergent (like i.e. Ajax)
Cleaning of bathrooms
The toilet must be cleaned with ‘Toilet-rens’
The shower must be cleaned with a descaler ‘afkalkningsmiddel’
Other surfaces can be cleaned with a multipurpose domestic detergent ‘universal rengøringsmiddel’
Cleaning of kitchen
The detergent used for washing up dishes is called ‘sulfo’ or just ‘opvaskemiddel’
For the dishwasher you use: ‘opvasketabs’
To clean the oven you use ‘ovn-rens’
For the general cleaning you use ‘universal rengøringsmiddel’ like Ajax.
Washing machine
Washing powder is called ‘vaskepulver’. Use only powder meant for the washing machine – which is not the same as for hand washing.
In general
There is no reason to use chlorine for the normal cleaning. It may do more harm than good!

Airing your room
To prevent damages due to moisture it is very important that
you every day open more windows to make the air circulate.
Do that twice a day for 10 minutes (remember to switch of the heat meanwhile).
Cleaning of bathroom
In most areas of Denmark you will experience that lime scale builds up rapidly at bathroom tiles and in the toilet. If you don’t remove it weekly, it will be very costly to remove it at the end of your stay. The expenses will be deducted from your deposit.
Therefore we strongly recommend that you clean the bathroom every week and remove the lime scale.
Toilet
To remove lime scale and rust deposits use WC RENS. Add WC RENS to the toilet, wait 30 minutes and clean with a brush. Repeat, if necessary.
Shower
To remove lime scale use KALKFJERNER. Apply KALKFJERNER to the walls with a brush. Wait 30 minutes and scour the walls/floors with a scrubbing brush. Repeat, if necessary until all lime scale has been removed.
Wash the shower curtain in the washing machine at 30°.
Both WC RENS and KALKFJERNER can be bought in any supermarket. There is a variety of products but the cheapest will do fine. To scrub the walls you can buy a packet of GRYDESVAMPE. They are very cheap and very efficient.
Cleaning of oven, electric burner/ceramic range and range hood
Oven
Buy a bottle of ‘OVN RENS’ and follow the instructions on the bottle. Normally you have to add the product to the sides of the oven, heat up the oven and then rinse off the product.
Electric burner/ceramic range
You need to use a special scraper regularly. Hereafter you use KERAMIKRENS (a special product that can be bought cheaply in any supermarket).
Range hood (emhætte)
Remove the filters from the range hood. Place them in a bucket with hot water and detergent (for instance AJAX) for an hour. Rinse with clean water, dry and replace.
Drains
To prevent clogging of the pipes it is a good idea to add some boiling water regularly. Remove hair etc. regularly
Rent and deposit
First month’s rent
The International Centre has made an outlay for the deposit and first month’s rent on your behalf. You will receive an invoice together with your keys, or within the first 7 days from the day you moved in. The invoice is to be paid no later than 14 days after moving in. Neglecting to do so will result in fining. If you have not received an invoice within 7 days, please contact the International Centre.
How can you pay your first months rent and deposit?
There are 4 ways to pay your invoice. Please see below and the copy of our invoice for further information:
- You can pay from your home country and make a foreign transfer
You have to use:
BIC/SWIFT code (on the top right hand side of the invoice)
IBAN (at the bottom left hand side)
Bank address
Bank account holder’s name
- You can pay in cash in any bank
You have to draw money from an ATM machine, and normally it has to be done over 3-4 times, as you have a limit per day on your credit card. You can either pay every time you have drawn the money or you can wait until you have drawn all the money over the days, and then pay the full amount
- You can pay with a traveller’s cheque
It has to be a traveller’s cheque that has been written out by your home bank
- You can pay from a Danish account
When you have received your Danish CPR-number you can go to any bank and open a bank account. This is the most beneficial way to do it, as it does not cost you any fee’s for making a transfer if you open an account in Danske Bank as it is the same bank as the University uses.
Remember always to put your customer and invoice number on your payment, so that we can identify your payment.
Following month’s rent
From the second month and the following months you will receive a payment slip from the International Centre every month. On the payment slip you can find the latest day to pay. If you don’t pay on time you will be charged a fee on next months invoice. If you want to transfer the money from a foreign bank please use these codes for Aarhus University:

Please, keep all invoices that you receive and all your receipts for payment. The receipt is the only proof that you have of your payment. Please note that if you get an invoice that you do not understand or know the origin of, do not automatically pay it but contact the Housing Unit of the International Centre for further inquiry.

Moving Out
- Prior to moving out, please contact the International Centre (housing@adm.au.dk) to let us know when you move out. Please return the keys to the International Centre on the day you move out. If you return the keys outside opening hours (10-14), please put the keys in an envelope (with your name and address on it) and drop it in the mailbox outside the International Centre. The white info folder is to stay in your room. When you have returned the keys, the International Centre will do an inspection of your room afterwards.
- Please fill out the reimbursement of deposit form at the website of the International Centre. Make sure to fill out all sections correctly:

- Please make sure to inform the National Registry Office (Folkeregistret) at borgerservice@aarhus.dk that you are leaving. In your mail you have to specify your name, CPR-number, your address in Aarhus and your new address in your home country.
- Make sure to inform the Danish Postal Service of your new address. A change of address form can be obtained at the nearest Post Office. You will also have to notify your Danish bank and remove your name tag from the mailbox.
Please see under “contract” exactly when you have to vacate your room.
What you have to do before you leave your accomodation:
NB: please contact the International Centre if you have questions
Room
- Remove all garbage
- Clean all surfaces
- Clean the skirtings
- Vacuum clean the floor – also under the bed!
- Vacuum clean the radiator and behind it
- Clean the windows using a dry dishcloth and a glass cleaner (‘glasrens’, ‘vinduesrens’, or ‘spejlrens’ in Danish)
- Wash the floor with water and soap (notice that the proper kind of soap differs according to the floor material)
Bath room
- Remove all garbage
- Vacuum clean the floor
- Clean the windows (see above) and the mirror (same procedure)
- Descale surfaces - both vertical and horizontal (fixtures, toilet, sink, tiles, etc.) - using a special descaler (‘kalkfjerner’ in Danish); you might have to do it twice to make sure you have removed all the scale
- Wash all surfaces with hot water and soap
- Wash the toilet carefully using toilet cleaner (‘toiletrens’ in Danish)
- Wash the shower curtain in the washing machine
- Wash the floor with water and soap
Kitchen
- Do the dishes
- Tidy up and clean the cupboards (inside and outside)
- Clean the windows (see above)
- Wash all surfaces (see above)
- Clean the inside of the oven using cleaner (‘ovnrens’ in Danish), the outside, and behind it
- Wash the floor with water and soap
- Empty the refrigerator/freezer, defrost it if necessary, and clean it.
Make sure that everything looks nice!!

Save money – clean properly.
If you fail to do the cleaning well, a cleaning company will be hired to do it for you. The expenses will be deducted from your deposit.

Information regarding internet access
A broadband connection is established at your accomodation.
Upon arrival when you pick up your key at the International Centre, you sign an internet contract and receive information on how to get online.
The internet costs 50 DKK a month.
Media license fee
The media license is an appliance fee, set by Parliament.
In Denmark you are legally obligated to register with DR License when you are of legal age. You need to register within 14 days of procurement (or moving to Denmark), whether you own, lease or borrow your appliances; and regardless of whether you make use of DR´s services or not.
The Media License covers appliances such as TV sets, radios, video or DVD recorders, computers with internet access, mobile phones and similar electronic devices that also work as a television or radio receiver. The Radio License covers radios only.
Concession:
In Denmark students do not get a concession.
Cancellation:
If you no longer have any of the mentioned appliances you need to cancel your license fee registration in writing asap. The cancellation takes effect from the day it is received by DR License and cannot be backdated.

Furniture and Kitchen equipment
- The furniture and kitchen equipment are expected to be left in the same condition and number as when you took over the tenancy, except for the normal wear and tear. If any of the basic furniture is broken, please contact the Housing Office at the International Centre, and the furniture will be repaired or replaced. Cost of missing or broken furniture will be deducted from your deposit. In the case of misuse, you must replace the equipment yourself before you leave the accommodation.

Instruction:
- Place the top mattress (if you have one) on top of the mattress. Place the thin mattress protector (rulle-madras) on top of the (top) mattress.
- Put the bottom sheet on top of the mattress protector.
- Put the pillow inside the pillow case.
- Put the duvet inside the duvet cover.
The linen can be bought in any department store.
The linen must be changed at least every 14 days and washed at 60 degrees in the washing machine.

Practical information and social events
- If you loose your key, contact the International Centre. You have to pay for a new lock. If you lock yourself out outside IC opening hours, contact a locksmith (at your own expense.) Here are two possibilities: Bonne Låse og Sikring 70702190 or Abildgaard Låseservice 86140380. Both companies provide 24 hours service.
- If you lock yourself out, please contact a locksmith yourself (also at your own expense)
- If you have a mobile number, or get such during your stay, it is important that you contact the International Centre and inform us of your number. The same goes if you change your e-mail address.
- Aarhus is a great city for biking, not only does a bike offer you the possibility to see the countryside, it is also a tool for getting you into shape. We recommend that you either buy a bicycle on the Police Auctions held the first Wednesday every month. Otherwise, it is also possible to rent a bike during your stay.
- Public transportation is generally quite good in Denmark, and if you wish to take advantage of this, it would be recommendable to invest in a monthly subscription for the bus, which is much cheaper than buying tickets on a day-to-day basis.
- If you do not find the furnishing of your room sufficient, you can buy cheap furniture in IKEA, or in one of the many second hand shops in the city. The same goes for kitchen equipment.
- The student community Studenterhus Aarhus arranges parties, trips and other cultural events for exchange, and Danish students at the Institutions of Higher Education in Aarhus.
Acute illness
General Practitioner (GP)
To visit a GP you need your health insurance card. If you need to see a GP before you have received your health insurance card, you can contact the IC (week days 9am-4pm) on tel. 8942 2320. You also have the possibility to contact any GP before getting your health insurance card. GPs are open on weekdays from 0800 – 1600 hrs.

Doctor on emergency duty (Lægevagten) – tel. 70 11 31 31
The doctor on emergency duty is available when GPs are closed: weekdays between 4 pm and 8 am, 24 hrs on weekends and public holidays. The doctor helps people who suddenly become ill or if a disease gets worse. In special cases the doctor may choose to visit the patient at home or call an ambulance. You must make an appointment with the emergency doctor before you go there. So please remember to call before you go.
