Applying for housing as Erasmus Mundus & Joint Pgr. student via AU Housing

As a new Erasmus Mundus & Joint Programme student arriving at Aarhus University for the first time, you can use the AU free of charge housing service to find accommodation in Aarhus for the first part of your stay (maximum 12 months.) If you wish to choose this option, please read about the application process below.

Applying for accommodation:

  1. Read the terms and conditions of housing and read the general information carefully.
  2. Be aware of the housing application deadlines: 1 May (autumn term), 1 November (spring term.)
  3. Decide whether you want to use the AU Housing service or if it is better for you to find housing on your own in Aarhus.
  4. If you wish to apply for housing via AU Housing you have to fill in an online housing application. In order to do this, you first have to create an account in the Self-service system and next you can find and fill in the online housing application. 
  5. Find directions on creating a Self-service account here.
  6. When you have created a Self-service account you can open the Self-service system and fill in your online housing application. Use this application form: Erasmus Mundus, Fee-paying students, MBA and Scholarship Recipients.
  7. At the housing application form you can request your contract to start on the 1st or 15th of any month. If we can't find an available room for you from the requested date, we will try to find a room for you 14 days before or after the requested date. Check carefully when your eventual intro programme starts and plan according to that. You may have to arrange accommodation at a hostel for the first nights.
  8. At the housing application you choose 'School of Communication and Culture' and as contactperson: Bettina Andersen. Note that you can't apply for a specific dorm or location of your room. If you need a specific location of your new home, you should not apply via AU Housing but instead look for a room at the private market, where you can yourself decide where you want to live.
  9. Only one person is allowed in a single room. If you need accommodation for two persons, you can write that in your application. However, be aware that AU Housing disposes of very few housing options for couples, and you should therefore not rely on beeing offered accommodation from AU Housing but also start looking for other options yourself.
  10. You can apply for temporary accommodation for a maximum of 12 months. If you need to stay longer, we recommend that you sign up at the waiting list at www.studenthousingaarhus.dk (the longer you are at the waiting list, the easier for you to get your preferred accommodation when your lease via AU Housing ends. Therefore it will be a good idea to sign up soon after your arrival.)
  11. A housing reservation via AU Housing requires that you have access to a credit card. You can't use the AU Housing service if you don't have/have access to a credit card. In that case you can instead look for housing options at the private market.

What happens next?

  1. If you apply for the spring term, you will receive a housing offer by email before 15.12. If you apply for the autumn term, you will receive a housing offer by email before 1 July. You can find information about most types of housing here. If you can’t find information about the place you have been allocated you can contact us at housing@au.dk
  2. Make sure that emails from housing@au.dk and housing@adm.au.dk don't end in your spamfilter. Change the settings in your inbox so it allows emails from these two addresses.
  3. When you have received the email, you must confirm acceptance of the offered lease in the Self-service system within 2 days. Please find instructions on how to accept/decline here. In order to accept the offered lease you must pay the first month’s rent via an online credit card payment system, after which the room will be reserved for you. If we do not receive your payment and acceptance within 2 days, your housing offer will be cancelled. Therefore, it is important that you check your emails regularly after May 8th, 2017. 
  4. If you are offered a room to sublet, you must contact the landlord as soon as possible, sign the leasing contract and transfer the first month’s rent and a security deposit to the landlord’s bank account.  You must arrange how and when to collect the keys with the landlord.
  5. We send ONE housing offer per applicant only. The number of applicants by far exceeds the number of available rooms, and therefore we will never be able to send you a second housing offer. Therefore you need to consider other housing options, if you choose to decline the housing offer from AU Housing.

Cancellation

  1. If you need to cancel your accommodation, you must contact housing@au.dk immediately. If you cancel your accommodation more than 6 weeks before your leasing contract starts, we will cancel your contract without any costs. In that case we will refund your payment to your bank account. If there is less than six weeks until the start of your leasing contract, we will send you an invoice for 1-2 month’s rent depending on the specific leasing contract. There are no exceptions to this, meaning that the housing office is NOT responsible for eventual delays in your visa-application, withdrawal from your study programme, your eventual health problems or whatever reason for your delay or necessary cancellation, and you will therefore be billed for cancellations made later than 6 weeks before your contract starts for WHATEVER REASON you have to cancel.

Arrival

  1. You might have a lot of questions on practical matters. You can find answers to many of these here.
  2. After arrival, make sure that you sign your leasing contract and hand it in to the Housing Office at the International Centre (unless you have been allocated a room to sublet, in which case you need to send the signed leasing contract to the landlord before arrival.)  

Temporary accommodation only

  1. If the duration of your studies exceeds 12 months, you should already now consider how you will find your next place to live. You can consider www.studenthousingaarhus.dk, www.aarhusbolig.dk or options at the private market.

About housing offered via AU Housing

Students will be placed in student residences, shared-facilities houses or offered subletted accommodationThe rooms are not located at campus, but are scattered around the city. We are not able to guarantee a specific location of your accommodation. In most cases you can expect a maximum of 30 minutes travel time to campus. Rooms will be furnished with basic furniture only: bed, table, study chair, lamp and basic kitchen utensils. Duvets, pillows and bed linen are not provided. Other furniture, equipment and appliances will not be provided.
