Practical information
Practical information regarding temporary accommodation in Aarhus through the International Centre (PhD students)
How to apply for temporary housing in Aarhus via IC
Please find the application form here: Application process. Please send in your application MINIMUM 2 months before you wish your lease to start.
Housing periods
The IC offers housing for full months only (from the first day of the month to the last day of the month), with a minimum stay of one month. Therefore, you might want to consider finding short term accommodation at the beginning or end of your stay in order to avoid paying a full month’s rent. If you need accommodation for less than a month, please find some suggestions in short term accommodation.
Confirmation
When we have found a room for you, we will send you an email asking you to confirm that you want the lease. When we have received your confirmation, we will finalise your leasing contract and make sure that your key is ready to be picked up when you arrive in Aarhus. Should you not accept the offered accommodation, we will see if anything else is available. If not, we will recommend that you start looking for accommodation in Aarhus on your own.
Cancellation
If you have to cancel your accommodation in Aarhus after you have confirmed your accommodation, please contact housing@adm.au.dk immediately. If you cancel your accommodation more than 6 weeks before your leasing contract starts, we will cancel your contract without any cost. If there is less than 6 weeks to the start of your leasing contract, we will send you an invoice for 1-2 month’s rent depending on the notice period in your leasing contract. Please notice that this cancellation policy applies regardless of the reason for your cancellation (including visa problems, illness, personal or family problems, delays or any other situation outside of your control).
Delays
It is not possible to postpone a leasing contract. If your arrival will be delayed for any reason, you need to decide whether you want to cancel your leasing contract or pay the rent from the start of the leasing period despite not living there. If you decide to cancel your lease, please read the cancellation policy above.
Payment
Residences and shared facilities houses
You will receive an invoice for the first month’s rent and the deposit together with your key and contract. You must pay this amount immediately upon your arrival in Aarhus. You have to pay the invoice in a bank, using either cash or your credit card. You cannot pay the invoice at the International Centre.
Subletted rooms
You must pay the first month’s rent and the deposit to your landlord immediately after you have received your leasing contract, before your arrival in Aarhus.
Moving in
You can pick up your key and leasing contract at the International Centre on the day your leasing contract starts, unless your leasing contract starts on a Saturday, Sunday or public holiday in which case you can pick up your key on the following Monday. The IC opening hours are weekdays 10am-2pm. If you arrive outside of office hours, you can ask your contact person to pick up the key for you. If you are subletting a room from a private landlord, you should agree with them when and where you can pick up the key.
What to bring
For most accommodation, you need to bring a duvet, pillow, bed linen and towels. At Teknolog and Vennelyst dorms, duvet and pillow are provided, but you need to bring bed linen and towels. These items can also be bought cheaply in many supermarkets in Aarhus. Your room will have no decoration and your kitchen will have basic kitchen utensils only.
