Guidelines on the use of computers for examinations

These guidelines concern Aarhus University's rules of 1 February 2011 on the use of computers for examinations.

Please note Aarhus University's rules on registration for, participation in and withdrawal of registration for examinations of 1 February 2011 and Aarhus University's rules on disciplinary measures for students of 6 October 2004.

Considerations before an examination

The university offers no technical assistance for examinations in which computers are used. For this reason, you must consider whether you have sufficient computer experience to solve any problems occurring before or during an examination in which you are using a computer. Note that any technical problems with your computer before or during the examination will not cause you to be given additional time for the examination or an exemption for a new attempt.

The university will not make equipment (computer and printer) available for the examination. Consequently, you must ensure that the quality of your computer and printer is such that they are suitable for the examination. In order to keep noise to an acceptable level, the sound must be switched off on your computer during the examination, and your computer must be configured to minimise keyboard sounds and other noise as much as possible.

Registration for examinations

When registering for an examination, you must indicate under examination type that you wish to use a computer, where this is possible. The option of using a computer is stated in your curriculum and on registration. Changing your choice of examination type after the deadline for registration has passed will require an exemption.

Preparations before an examination

On the day of the examination, you must check that your computer and printer are in working order and that you have the equipment necessary for you to take an examination on your computer. You must bring an extension cord and plugs to enable you to connect to the cables in the examination room. Normally, there will only be one live outlet per student. You must also bring your own paper for your printer for use during the examination.

It is recommended that you create a template prior to the examination. This template must have a header containing information on:

date, subject, page number and total number of pages and

either

examination number – if the examination is conducted under numbers

or

name and matriculation number

It is up to you whether you set up the computer to automatically generate page numbers and the total number of pages or if you write them by hand in the designated spaces in the header. The left margin must be 5 cm, the right margin 1 cm, line spacing 1½ and pitch 11-12. The font should be Times New Roman or a similar legible font. Finally, you may also indicate the date and time, for example in a footer, to enable you to distinguish between the different printouts.

It is recommended that you set up your computer to take a back-up every five minutes.

Please note that Aarhus University accepts no responsibility for computer equipment in connection with examinations, cf. section 9 in Aarhus University's rules of 1 February 2011 on the use of computers for examinations.

Some noise may be expected in rooms where computers are used, so you may want to bring earplugs.

The day of the examination

Normally, computers and printers may be set up from 8.30 am on the day of the examination for examinations starting at 9.00 am.

During the examination

Besides using the back-up function, it is recommended that you regularly save a copy of your document under a different name both on the computer's hard disk and on another electronic medium (e.g. a USB key).

You are not permitted to use other students' printers, not even in the event that your own printer does not work. For this reason, you are advised to print your work regularly, e.g. once every 30 or 60 minutes, in order to minimise the consequences of any technical problems.

You must hand in your paper printed on paper in two copies. If your printer breaks down during the examination, you always have the option of writing the rest of the paper by hand. This means that you may hand in both printed and hand-written pages. If you are not able to finish your paper on your computer, you must ask the examination monitor for paper.

You are not permitted to activate any installations enabling Internet connection, including modems, mobile telephones or infrared ports.

Checklist

  • set up your computer and printer from 8.30 am
  • save your paper regularly, both on the hard disk and on a USB key

  • print two copies of the final paper for submission
